Guest booking
- Three-step booking: treatment and duration, date and time, details
- Hungarian, English and German interface (/hu, /en, /de); enabled languages and the default are configurable
- Embeddable in the hotel website, or usable as a standalone link
- Treatments grouped into categories, with per-language name, description and image
- Product selection per treatment (oil, cream); a single product is attached automatically
- Room number validated against the active room list
- Terms acceptance required, with the version and timestamp recorded
- Self-service cancellation via the confirmation email, up to the deadline
Capacity and rostering
- Roster-free week: daily headcount sets how many treatments run in parallel
- Rostered week: shifts per staff member, per day
- Automatic therapist selection by fewest treatment minutes that day
- Manual therapist selection, and swapping the staff between two bookings
- One-click automatic reassignment across a whole week

Front-desk operations

Rules and availability

Notifications
- Confirmation email to the guest in the booking's language, with an embedded logo
- Calendar file (.ics) attached, with a 30-minute reminder and the cancel link
- "New booking" notice to the spa address, always in Hungarian
- Cancellation notice to both the guest and the spa
- "Appointment changed" email with an updated calendar file
- Changing the email address resends the full confirmation with a new cancel link
- HTML and plain-text versions of every message
- A send failure never affects the booking; it goes to the server log
Branding, languages, terms
- Logo, colours and the hotel name across the interface and the emails
- Sender name and address, plus the spa's notification address
- Enabled languages and the default language
- Versioned terms: once published, every booking records the accepted version
- Room list with active and inactive rooms
- Ordering of treatments, categories and products
Statistics and audit log
- Revenue from completed bookings at their captured price
- Confirmed future revenue, with a count
- Cancellation rate, excluding mistaken, test and duplicate bookings

- An audit log of every change, in plain language
- The log records per account, so changes are traceable to a person

Data protection and operations
- Guest notes deleted 30 days after the treatment
- Name, email, phone and room number anonymised 12 months after the treatment
- Audit entries deleted after 12 months
- Deletion runs automatically every day, unattended
- No online payment, so no card data ever enters the system
- A separate deployment and a separate PostgreSQL database per hotel
- Branding, rules and content are data, not code — editable in the admin
